Are you Pandora's new Facility Manager? Are you passionate about driving impactful change and helping our organization perform? Do you have a knack for navigating, managing, and supporting people? If so, we have the perfect opportunity for you!We are looking for a new Facility Manager for Pandora's Headquarters in Havneholmen, Copenhagen. This role is critical as we establish robust facility services to drive the Pandora experience, particularly for our employees. The goal is not only to maintain the momentum of our Facility Management but to elevate it, ensuring our people's experience is second to none.You will report to the Director of HR Operations and manage the Facility Management team and External Contractors. Success is achieved through close collaboration and excellent communication with all stakeholders.Your tasks are wide-ranging and include support for our Head Office as well as the Digital hub and Retail Lab. You will supervise all facilities staff, including reception, service technicians, as well as external contractors.In summary, responsibilities will include:
  • Ensure all facilities operate smoothly and efficiently. Oversee maintenance, repair, and upgrades of physical assets, including buildings, systems, electrical infrastructure, and implement preventative maintenance programs.
  • Coordinate space allocation, layout, and office moves. Work closely with department leaders to understand their space requirements and plan accordingly to optimize space use.
  • Manage relationships with external vendors and service providers, including cleaning, security, and facilities maintenance companies. Negotiate contracts in collaboration with our procurement department to achieve the best value for the company.
  • Ensure the workplace meets all legal and regulatory requirements related to health, safety, and environmental standards. Implement policies and procedures to promote a safe and healthy work environment and be an active member of Pandora's Work Environment Council.
  • Develop and manage the Facility budget, including operating expenses and capital projects. Monitor expenses and implement cost-saving measures.
  • Lead initiatives to reduce the environmental impact of the headquarters, including energy efficiency programs, waste reduction, and sustainable procurement practices.
  • Develop and maintain emergency response plans, including evacuation procedures, fire drills, and disaster recovery. Ensure all employees are trained on safety protocols.
  • Work with the IT department to ensure facilities are equipped with the necessary technological infrastructure. Oversee the integration of smart building technologies to enhance efficiency and comfort.
  • Continuous Improvement: Establish and refine Facility Management (FM) processes adopting best practices and innovative approaches to elevate HR service delivery standards.

  • Proven experience as a facilities manager or relevant position where you build an engaged team around you.
  • Language skills: Speak and write Danish and English fluently since the corporate language is English.

  • Process Management: Experienced with optimizing processes, enabling clear visualization and analysis of workflows.

  • Business Acumen: A holistic understanding of the business, including its strategies and goals, to ensure that FM initiatives are fully aligned with the organization's direction.
